Privacy Policy

This policy applies to personal information processed through the KEINN website, including the Contact page. For information collected through this website, KEINN acts as the data controller.

Information you provide

When you use the Contact page, KEINN receives your name, email address, phone number, optional Instagram ID, subject and message. Please do not include sensitive personal information unless it is genuinely necessary.

Technical and security information

On each website visit, KEINN’s server records the connection IP address, masked IP range, network operator or autonomous system (ISP/ASN), country, browser user-agent, pages visited, referring website hostname, visit timestamps and a random session identifier. The server may also record whether the network is identified as a VPN, proxy, Tor exit node, relay or hosting provider and whether access was denied. IP addresses are determined by the server rather than supplied through a form field.

A visit may be marked when the same browser session remains on the website for at least one minute. These records support website security, misuse investigation, aggregate audience measurement and service planning. They are not sold or used to create automated advertising profiles.

The website displays a subtle reference number in its ownership mark. The same reference is stored with the corresponding private visitor record so KEINN can investigate misuse involving a copied page or screenshot. The public reference does not display an IP address, device, timestamp or other visitor details.

Copyright notice downloads

Each copyright-notice download increases a private aggregate counter. The server also records the requesting IP address and download time in a restricted log stored outside the public website. These details are used only to maintain the counter, identify automated abuse and protect the download service. They are never displayed publicly.

Device location

The current website does not request, collect, save or transmit device GPS coordinates. Approximate country and network information may be derived from the IP address as described above.

Depending on the situation, processing is based on one or more of the following:

• Contract or pre-contract steps when you ask about or receive a service.
• Legitimate interests in responding to general enquiries and securing the website, balanced against your rights.
• Legitimate interests in measuring website engagement, improving services and preventing misuse, balanced against visitor rights.
• Legitimate interests in maintaining an accurate, abuse-resistant document-download count and protecting the download service.
• Legal obligation when information must be retained or disclosed under applicable law.
• Consent for an optional feature that clearly asks for your choice. Consent can be withdrawn at any time.

This version of the website does not use advertising or marketing cookies. A short-lived, strictly necessary session cookie protects the Contact form by linking a server-issued security token to your browser. Session storage holds a random visit identifier, visit start time and one-minute engagement marker, plus the public ownership-reference number, so page navigation does not create duplicate engagement records or change the displayed reference. If optional analytics or marketing tools are introduced later, this policy and any required consent controls will be updated before those tools are activated.

KEINN does not sell personal information. Information may be shared only with service providers needed for hosting, security, communication or professional support, and with public authorities where the law requires it.

If a provider processes personal information outside the European Economic Area, KEINN will use an appropriate transfer mechanism and contractual safeguards where required.

KEINN uses purpose-based retention rather than keeping information indefinitely. Contact messages are kept while an enquiry is active and for a reasonable follow-up period. Information connected to a service, legal duty, dispute or security incident may be kept longer where needed. When a purpose ends, information is deleted or anonymised unless the law requires continued retention.

Contact messages and their associated security records may be kept for up to 12 months. This period supports enquiry and project follow-up, including links and tools that may remain valid for up to one year, and allows KEINN to investigate repeated spam, misuse or security incidents. Download IP addresses and timestamps may also be retained for up to 12 months for download-service security. The private aggregate download total does not identify a visitor and may be retained as a historical count. Visitor connection, network-classification and engagement records may be retained for up to 12 months for security, audience measurement and service improvement.

Subject to applicable law and any relevant exceptions, you may ask KEINN to:

• confirm whether your personal information is processed and provide access to it;
• correct information that is inaccurate or incomplete;
• delete information or restrict how it is used;
• provide portable information where the right to portability applies;
• stop processing based on your particular situation where the right to object applies; or
• withdraw consent without affecting processing carried out before withdrawal.

KEINN uses reasonable technical and organisational safeguards designed to protect information against unauthorised access, alteration, loss or disclosure. No online system can guarantee absolute security.

Browser-side controls can only discourage copying, printing, screenshots, screen recording and inspection; they cannot prevent them. Private code, credentials and secret tokens are kept on the server rather than in public website files.

This website does not use personal information to make decisions based solely on automated processing that produce legal or similarly significant effects for visitors.

Access may be automatically denied when an IP intelligence provider identifies a Tor, VPN, proxy, relay or other anonymous connection. This decision affects website access only and does not produce legal or similarly significant effects.
